The Purpose of processing Client Data

In order to provide my services, I will need to gather and retain potentially sensitive information about your health. I will only use this information for informing my sessions and associated recommendations concerning aspects of health and well being, which I will offer to you.


Lawful Basis for holding and using Client Information

As a full member of the FHT and AoR, I abide by the Codes of Practice. The lawful basis under which I hold and use your information is my legitimate interests i.e. my requirement to retain the information in order to provide you with the best possible support and advice.

As I hold special category data (i.e. health related information), the Additional Condition under which I hold and use this information is: for me to fulfil my role as a Reflexologist are bound under the AoR Confidentiality as defined in the Code of Practice.


What information I hold and what I do with it

In order to give my services, I will need to ask for and keep information about your health. I will only use this for informing treatments and any advice I give as a result of your appointment. The information to be held is:

- Your contact details

- Medical history and other health-related information (which I will take from you at and following first consultation)

- Appointment details and related notes (which I will take during and after each appointment)
I will NOT share your information with anyone else (other than within my own practice, or as required for legal process) without explaining why it is necessary, and getting your explicit consent.


How Long I Retain Your Information for

I will keep your information for the following periods:

- ‘Claims occurring’ insurance: (records to be kept for 7 years after last appointment)

Your data will not be transferred outside the EU without your consent.


Protecting Your Personal Data

I am committed to ensuring that your personal data is secure. In order to prevent unauthorised access or disclosure, I have put in place appropriate technical, physical and managerial procedures to safeguard and secure the information we collect from you.

I will contact you using the contact preferences you give me in relation to:

- Appointment times

- Information or information related to your health

- Special offers and promotions (you may unsubscribe from this at any time)


Your Rights

GDPR gives you the following rights:

- The right to be informed: To know how your information will be held and used (this notice).

- The right of access: To see records of your personal information, so you know what is held about you and can verify it.

- The right to rectification: To tell Michelle to make changes to your personal information if it is incorrect or incomplete.

- The right to erasure (also called “the right to be forgotten”): For you to request me to erase any information I hold about you

The Rights of Michelle

Please note:

- If you don’t agree to Michelle keeping records of information about you and your appointments, or if you don’t allow them to use the information in the way they need to for appointments, she may not be able to work with you

- Michelle has to keep your records of treatment for a certain period as described above, which may mean that even if you ask them to erase any details about you, they might have to keep these details until after that period has passed

- Michelle can move their records between their computers and IT systems, as long as your details are protected from being seen by others without your permission.

CANCELLATION POLICY FOR 1:1 SERVICES

1. General Cancellation Terms:

- Cancellations with more than 48 hours' notice: Full refund or rescheduling of the appointment.

- Cancellations within 48-24 hours notice: No refund, but you may reschedule your session for a later date (subject to availability). If you reschedule, we can work together to find a suitable time.

- Cancellations within 24 hours or less: No refund, and the session will be considered completed. I understand that emergencies happen, so if there’s a genuine reason, please contact me as soon as possible, and I’ll do my best to accommodate you.

- No-shows: If you miss your scheduled session without notifying me, the session will be treated as completed, and no refund will be given.


2. Rescheduling:

- You can reschedule your session up to 48 hours before without any additional charge.

- Rescheduling within 48 hours is subject to availability.


3. Special Circumstances:

If you have an emergency or special circumstance, please contact me as soon as possible. I will assess the situation on a case-by-case basis.


Lateness Policy for 1:1 Sessions

Late Arrivals:

- If you arrive late for your session, the session will still end at the scheduled time, and the full session fee will apply. This ensures that I can stay on schedule for the next client and manage my time effectively.

- More than 15 minutes late: If you're more than 15 minutes late, the session will be considered a no-show, and no refund will be issued. You can still contact me to reschedule based on availability, but this may be subject to additional fees for the inconvenience.

- Please Communicate: If you know you will be late, please notify me as soon as possible. If you’re running late but anticipate being within the 15 minute window, I’ll do my best to accommodate you - but please be aware that the session time may be shortened to respect other appointments.
